Manage Event Travel in EventCX

Travel logistics are a big part of a speaker's life and calendar, and EventCX allows you to track all event-related travel. Managing your travel plans in EventCX offer many advantages:
  1. Easy access for all staff
  2. Travel plans tied right to the event; no hunting around for the right itinerary
  3. Your Book-me-now website plugin will be able to report your travel days to querying customers


Add Air Travel

  1. When looking at the event for which you want to enter travel plans in EventCX, choose the TRAVEL tab.
  2. Click the ADD FLIGHT button
  3. Enter a flight DESCRIPTION. This text helps you identify the purpose of the flight. Example "Outbound flight", "Returning from Denver", "Travis going from Vegas to Tuscon", etc.
  4. Enter an optional CONF # and COST
    1. The confirmation number is displayed on reports and on the mobile device, making it easy to find when you need to enter it into a kiosk. Entering the cost allows EventCX to show your total travel costs on the SERVICES tab.
  5. Click the ADD LEG button once for each connection of your trip (ie, if you have one layover you'll click it twice to enter two legs):
    1. Enter the departing city in the FROM field, and the destination city in the TO field
    2. Enter the DEPART date/time, and the ARRIVE date/time. All times are considered local to the airport, as they are on your reservations.
    3. Enter the CARRIER, FLIGHT NUMBER and SEAT
    4. Click the ADD button to save all of the flight legs


Add Ground Travel

  1. When looking at the event for which you want to enter travel plans in EventCX, choose the TRAVEL tab.
  2. Click the ADD GROUND button
  3. Fill out the form, including as much information as you have.
    1. Entering the cost allows EventCX to show your total travel costs on the SERVICES tab.
  4. Click the ADD button to save your entry.


Add Hotel

  1. When looking at the event for which you want to enter travel plans in EventCX, choose the TRAVEL tab.
  2. Click the ADD HOTEL button
  3. Fill out the form, including as much information as you have.
  4. Click the ADD button to save your entry.


Integrate With TripIt to Avoid Typing

Here at eSpeakers, we're fans of the free (paid plan available) TripIt service, which can assemble a nice itinerary when you simply forward your confirmation email from air, ground and hotel bookings.
EventCX can pull your travel plans from TripIt and tie them to an event, saving you the work of ever having to type those in.
